Rental Coordinator @ Summit Fleet in Grande Prairie

Role and Responsibilities:

  • Work as a team player within the branch as well as with other branches to optimize productivity
  • Supporting Sales Team with our current customers and managing key account relationships over the phone, as well as adding new and potential customers within the territory
  • Investigate and resolve any customer service issues to ensure customer expectations are exceeded every time
  • Plan, organize and direct functions and activities related to the servicing, operation, maintenance and repair of Summit Fleet vehicles
  • Establish and maintain priorities and timelines of vehicle-related functions and activities
  • Communicate and coordinate with the team concerning vehicle needs and issues
  • Assure proper and timely resolution of vehicle related problems and conflicts
  • Direct vendor activities to assure Summit Fleet vehicles are maintained in safe and proper operating condition
  • Monitor, evaluate and determine priority of vehicle maintenance, servicing and repairs
  • Review the work of vendors to assure compliance with established standards, guidelines and procedures
  • Direct the maintenance, repair and recovery functions for roadside vehicle malfunctions
  • Coordinate the operation of the TSD rental system, including the billing functions
  • Oversee and assure proper input of related data, including mileage, fuel levels, client PO and invoice information
  • Provide consultation to clients concerning vehicle maintenance, repairs, respond to inquiries, resolve issues and conflicts and provide detailed information related to our policies and procedures
  • Participate in the preparation and maintenance report, records and files related to vehicles, maintenance and repairs
  • Participate in the delivery and pickup of vehicles

Qualification and Experience:

  • Proactive, accountable personality with strong attention to details and customer service focus
  • Post-secondary education desired but not necessary
  • Professional, punctual and reliable personality is a must
  • Strong team player, comfortable dealing with multiple people on a daily basis
  • Excellent written and oral communication skills
  • Good computer fundamentals
  • Ability to work in a fast-paced, deadline-driven environment
  • Excellent time management skills with ability to prioritize tasks
  • A natural problem solver who does not shy away from challenges
  • Similar work experience is an asset, especially in automotive industry
